Secure PDF Invoice
to Excel Converter

Browser-based PDF Invoice to Excel converter with local redaction and Audit ZIP download capability.

Line items land in separate columns — description, quantity, unit, net unit price, net and gross totals — with an automatic grand total row underneath. Your original invoice stays on your device the whole time. Stateless AI processing, on EU-only infrastructure.

Who is this converter for?

Accountants & Bookkeepers

Incoming supplier invoices rarely look alike: every vendor uses a different layout, header, and line-item format. Because the tool reads the flattened page image, you don't need a template per supplier. Line items, quantities, and net/gross values land in one consistent Excel table, and you can redact your client's confidential details locally before anything is processed.

Freelancers & Solopreneurs

If you track your own expenses, most of the time goes into retyping invoices by hand, not bookkeeping itself. Here you get the line items as a ready-made table you can total up or hand straight to your accountant. No account to register, and no need to upload your own supplier agreements to a third-party cloud service.

Procurement & Business Owners

On a multi-page supplier invoice, the substance is usually at the line-item level: what, how much, in what unit. With those in separate columns, comparing unit prices and breaking costs down by cost center takes minutes. You can black out your procurement terms — margins, discounts, contacts — locally, and verify line by line in the Audit ZIP exactly what is sent, before anything leaves your device.

Privacy in practice: Watch the workflow

Watch this short demonstration to see exactly how our browser-based tool converts a PDF invoice into a structured Excel file. See firsthand how local redaction and the Audit ZIP feature let you verify exactly what is sent for processing: your original PDF and the personal identifiers you redact locally never leave your device — only the redacted, flattened images you approve are sent for AI extraction.

Secure PDF to Excel Conversion Workflow

1

Local PDF Rendering

Your browser uses your device's memory to render the PDF invoice into an image locally — whether it's a digitally issued or scanned invoice. Your original PDF file is never uploaded to any server, so the hidden metadata, author information, and timestamps your invoicing software wrote into it never go anywhere either. A single document can be up to 50 pages and 30 MB.

2

Pixel-Level Redaction

On an invoice, the sensitive part is typically in the header and footer: the customer's name and address, bank account number, contact person, or negotiated terms. Draw black boxes over these — the browser physically overwrites the pixels on the canvas, and the data ceases to exist. You can leave the tabular line items untouched, since those are exactly what you want extracted.

3

Pre-Flight Audit (ZIP Download)

Before any data leaves your browser, you can download the exact redacted images in an Audit ZIP file. You can physically verify that all sensitive information is completely masked and unreadable to the AI. You are in full control.

4

Stateless AI Data Extraction

Only the flattened, redacted image is securely transmitted to our EU-based API. Because the system reads an image rather than relying on the PDF's text layer, differences in layout between suppliers don't matter — you don't need to set up a template per vendor. We use a stateless architecture with zero databases and strict zero-model-training guarantees from our enterprise AI provider. There is no file to delete afterward, because none is ever written to disk or database in the first place.

5

Client-Side Excel Generation

The raw line item data returned by the AI is assembled into a structured Excel (.xlsx) spreadsheet directly inside your browser. On the Invoice Items sheet, every line item gets its own row across six columns: Description, Quantity, Unit, Net Unit Price, Net Total, Gross Total. A GRAND TOTAL row underneath sums the net and gross values, and the header row stays frozen as you scroll. The final download happens locally, leaving no trace of your financial data online.

How we compare to standard PDF converters

The Standard Market Approach

  • Typically, you are forced to upload your original PDF file to the provider's servers.
  • Servers save the file, including hidden author metadata and timestamps.
  • They run OCR and AI analysis on all your business data — including your purchase prices and vendor names.
  • Results are stored in a database to generate a downloadable link.
Risk: High risk of data leaks, use of your purchase prices and vendor data for AI model training, and invoices left permanently on third-party servers.

Our Privacy by Design Approach

  • Your original PDF never leaves your machine. It is never uploaded.
  • Not a single detail of the original PDF metadata is transferred to the image files prepared for submission.
  • The AI only sees the image files you have approved - previously redacted areas are nothing more than empty, black pixels to it.
  • Contractual guarantees ensure there is no AI model training, and the final conversion result is saved exclusively on your device.
Result: Only the Excel file you requested is the final outcome - without you or your original document becoming the product.

Frequently Asked Questions

Is it safe to convert my PDF invoice, and do you upload the original file?

Your original PDF file is never uploaded to any server. Our converter uses a strict 'Privacy by Design' architecture. This isn't guaranteed by local rendering on its own — it's because your browser turns the PDF into a flattened image in its own memory, where you redact the sensitive parts yourself; only that already-redacted image is submitted for processing, and only after your explicit confirmation. The original PDF file, hidden metadata included, never leaves your device. You can also read our detailed Privacy and Security Architecture document for a code-level deep dive.

Will my business data be used to train AI models?

Absolutely not. We process your redacted images using AI API calls, restricted strictly to EU-only infrastructure. We have contractual guarantees that your submitted data is never stored, logged, or used to train any artificial intelligence models. In fact, the image is never written to disk or a database in the first place — it exists only in server memory for the duration of that single request, and there is no file left behind for a deletion process to act on.

How can I verify what data is actually sent to the AI?

We offer a unique "Pre-Flight Audit" feature. Before starting the AI extraction, you can download an Audit ZIP containing the exact flattened, redacted page images. This lets you see precisely what the AI will see — proving your blacked-out sensitive data is physically gone. This is especially useful when an invoice contains a field you're contractually or internally barred from disclosing: the ZIP lets you confirm, page by page, that the black box actually covers the data rather than just hiding it on screen.

What output format will I receive, and can it handle multi-page invoices?

You get one Excel (.xlsx) file with an Invoice Items sheet. Every line item gets its own row across six columns: Description, Quantity, Unit, Net Unit Price, Net Total, Gross Total. A GRAND TOTAL row underneath sums the net and gross values, and the header row stays frozen so you always know which column you're in on a longer invoice. A disclaimer at the top reminds you the data comes from AI processing and should be checked before bookkeeping. Multi-page invoices are merged into a single continuous table — the limit per document is 50 pages and 30 MB.

Do I need to create an account, and is this converter free to use?

No registration, email, or password is required. No account is required to use the tool. We provide free Universal Credits every day so you can test the extraction — it's worth trying with a real supplier invoice to see what table your own line-item format produces. For larger volumes, you can purchase anonymous, pay-as-you-go Credit Packs that never expire. Before processing starts, the Pre-Flight Check shows the maximum credit cost, so there are no surprises.
